1. Onboarding Management
Manage and execute the end-to-end onboarding process for expatriate teachers, including visa application procedures, documentation preparation, contract preparation, and first-day onboarding arrangements.
Organize and conduct induction and orientation sessions for new teachers to ensure they feel welcomed and aligned with Apollo’s culture and values.
Guide new hires through company policies, procedures, and expectations.
2. Visa & Legal Documentation Support
Assist in preparing visa applications and documents required for work permit applications and other legal employment documentation for expatriate staff.
Ensure all documentation complies with Vietnamese labor regulations regarding foreign employees.
Maintain accurate records of employee documentation, visas, and legal compliance requirements.
3. Cross-Department Coordination
Collaborate closely with HR and Academic teams to ensure a smooth transition from recruitment to onboarding.
Coordinate with relevant departments to ensure all required paperwork and onboarding tasks are completed accurately and on time.
4. Employee Support & Process Improvement
Monitor the onboarding progress of new hires and provide necessary support during their integration period.
Gather feedback and recommend improvements to enhance the onboarding process and employee experience.
Stay updated with relevant laws, regulations, and policies related to expatriate employment and visa procedures in Vietnam.
5. Other Responsibilities
Perform other HR-related duties as assigned by the HR Manager.

Bachelor’s degree in Human Resources, Business Administration, or a related field
Previous experience in HR operations, onboarding, or HR administration is preferred.
Experience working with expatriates or international employees and understanding cultural differences is highly desirable.
Excellent English communication skills (both written and spoken).
Strong interpersonal and communication skills with the ability to build relationships and support international staff.
Highly organized with strong planning and systems-thinking abilities.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Detail-oriented with strong prioritization and time management skills.
Proactive, adaptable, quick to learn, and able to work effectively in a fast-paced environment.
Knowledge of Vietnam visa and work permit procedures for expatriates is an advantage.
